First steps for companies
We are delighted that you have chosen HelloBonnie and would like to offer your employees the flexible world of the HelloBonnie smartcard in the future. 😍
Now that we have concluded the contract, our streamlined onboarding process follows. In the following guideline you will find all the information you need to get HelloBonnie ready for you - so ready, set, go! 🚀
1️⃣ Registration of your company 🏢
First, we register your company on the HelloBonnie platform. The initial registration must be carried out by a legal representative or an authorized person of the company (usually a shareholder, managing director, manager with power of attorney).
This person will receive a registration link by e-mail, which leads to a digital account registration process with our partner bank (Swan SAS) by requesting data about your company and person.
If the person is not a legal representative but is to be authorized, the Template document for a power of attorney can be downloaded, filled in and uploaded again during the process. In addition, a copy of the identity card or passport of a legal representative is also required in this case.
Since your company, together with the HelloBonnie platform, receives a bank account for the provision of the Benefit Budgets and the HelloBonnie Smartcards are credit-based Mastercards, these steps of registration and verification by our partner bank are necessary to comply with German financial supervisory law.
Important!
Please send us the name and email address of the person who is to receive the link for registration to support@hellobonnie.de. If your company comprises several companies, we also need the assignments of the respective authorized signatories if these are different. Important! The link may only be used by the person who is to be registered. The link may not be shared with other persons.
During the registration process, the partner bank Swan SAS may also request information and make contact directly by e-mail. The person registering should therefore not ignore emails from swan.io. If any problems arise during the process, please write to us directly at support@hellobonnie.de.
2️⃣ Invitation Admin Manager 👩🏻💻
After successful registration, the authorized person receives access to the HelloBonnie Dashboard. Within the dashboard, further Admin Managers can now be invited, who will also have access to the dashboard and manage the Benefit Management for the employees.
Important!
Before the first Admin Manager is granted access to the HelloBonnie Dashboard, he/she must be confirmed once by the authorized person in the Dashboard after his/her registration. All further Admin Managers can then be invited and confirmed by already authorized managers.
3️⃣ Onboarding Session 📞
Um den Admin Manager:innen die "Ersten Schritte" im HelloBonnie Dashboard so einfach wie möglich zu gestalten, führen wir eine gemeinsame Onboarding Session durch. In dieser Session geht es darum, die Funktionalitäten kennenzulernen und evtl. Fragen zu klären, hinsichtlich Einladungen, Benefit Aufladung, Zuweisungen, Abrechnung etc.
Important!
Choose a date for the onboarding session in the onboarding calendar. You are welcome to invite all relevant Admin Managers to this session.
Please note that we always start the registration process at HelloBonnie on the 1st of the month. It is therefore best to choose an onboarding date from the 5th of the month so that you have enough time to complete the registration process beforehand.

4️⃣ Invite employees 📩
As soon as the admin managers have access to the Dashboard, they can then directly invite all employees. The invitations can be sent via an individually configurable invitation link, which can be viewed in the dashboard, or by direct email invitation.
Alternatively, you can also provide an export (CSV file) from your HR system to support@hellobonnie.de and our team will send a mass invitation to the employees - the prerequisite for this is the first name, surname and email address of the employees.
The registration process and use by employees is kept very short and simple. Nevertheless, we provide a user manual for employees to explain the registration process and the subsequent use of HelloBonnie.

We are pleased to inform you that you can now use the benefits platform, HelloBonnie. Every month, you will receive a non-cash benefit budget that you can use flexibly, both locally and digitally, through the HelloBonnie App & Smartcard. Please register with HelloBonnie using this link (→ your individual invitation link). You can find a short explanatory video about the registration and functionality of HelloBonnie here. If you have any further questions, please feel free to contact the HelloBonnie support team at support@hellobonnie.de. They will assist you promptly.
Important!
After employees have registered for the first time, they must be confirmed once by an Admin Manager in the dashboard. If credit has already been transferred to the clearing account, the benefit budgets can be allocated directly to the employees.
We also offer our customers the free option of holding a tutorial webinar including Q&A for employees. If you would like to use this option, please select a suitable date in our tutorial calendar and forward the invitation to your employees.

5️⃣ Enjoy benefits 🧡
If you have topped up your Benefit clearing account via the HelloBonnie Dashboard, you can allocate Benefit budgets to employees in real time.
Employees then receive a notification** by email that Benefit credit has arrived and they can now select their personal benefits.
Employees have full flexibility with our Benefit Spaces and can use their benefits in the Regional Spaces as well as in the various Brand Spaces.
