Income Tax Certificate

Annual employer statement showing gross salary, deducted taxes and social security contributions for submission to the tax office or for tax return purposes

The wage tax certificate is a vital document that you, as an employee, receive once a year from your employer. It summarizes all relevant information about your employment relationship for the previous calendar year that is significant for tax purposes. Its main function is to provide you and the tax office with a detailed overview of your gross wages earned and the taxes withheld from them (wage tax, solidarity surcharge, church tax) as well as your social security contributions. This document serves as an indispensable foundation for preparing your annual income tax return. Without the information from this certificate, it would be virtually impossible to correctly complete your tax return and claim any potential tax refunds. Employers are legally obligated to issue this certificate and transmit the data electronically to the tax authorities.

The content of the wage tax certificate is standardized and includes a range of important information. This includes, in particular:

  • Your personal information such as name, address, and the important tax identification number (Tax ID).
  • Employer Information
  • The duration of your employment during the relevant calendar year.
  • Your tax bracket and the number of child tax allowances that were taken into account during the year.
  • Your total gross salary.
  • The total amount of wage tax withheld during the year.
  • The withheld solidarity surcharge (if applicable).
  • The withheld church tax (if applicable).
  • Your employee contributions to the statutory social insurance schemes (pension, health, long-term care, and unemployment insurance).
  • If applicable, information about tax-exempt income, income components subject to flat-rate taxation, or special types of wages/compensation.

The employer submits this data electronically to the tax authorities, typically no later than the end of February of the following year. You usually receive a printed copy of this electronically transmitted data for your records. This printout serves as documentation and a source of information for your tax return.

The wage tax certificate is not just a formal obligation, but rather a crucial tool for managing your financial overview and tax obligations. It documents in black and white which deductions were made from your salary and serves as the foundation for the tax office's final tax calculation as part of your income tax return. It's also relevant when it comes to employee benefits: Tax-free or flat-rate taxed additional benefits, such as those that can be offered through platforms like HelloBonnie, are also reflected here – either through separate itemization or by reducing the taxable gross salary. Looking at the certificate can therefore also show you how such benefits have positively impacted your tax burden and net income. It serves as the official record of the tax regulations applied to your employment relationship throughout the year.
